How to Apply the Pareto Principle to Email
Marl van der Toorn, Manager, Netherlands

You should also apply the 80/20 rule to your email inbox.

WHY YOU SHOULD APPLY THE 80/20 RULE TO YOUR INBOX
To make sure you are not following other people’s agenda (who send you all kinds of requests etc.), but your own.

HOW TO APPLY THE 80/20 RULE TO YOUR EMAILS
Suggested process:
  1. Before you open email inbox: start every day with these 3 steps:
    1. Set/confirm your top projects - be sure you have a list with your top 5 projects and a list of 3 things that must be done (by yourself or by others) to advance each of them.
    2. Set/confirm your people
    a. the people you must reach today - no matter what.
    b. the people who you need something from - to move something forward.
    3. Set/confirm your priorities - list the top 10 priorities to do today.
  2. Only now open your inbox and:
    1. Sort your inbox on "from" and select and work through the emails from the people you were waiting for (2b)
    2. Email the people you have to reach out to today (2a)
    3. Close your inbox and work through your priority list (3)
  3. Decide if perhaps you should open your inbox one more time in the afternoon.
